Reply to a recruiter

Updated 2026-10

What you will do

  • Draft a reply with a shortcut
  • Polish, format, and review the text before you send it
  • Save a private note, or attach a file or CV when the recruiter asked for one

Nothing is sent without you

Sunary can prepare replies. You review them before sending. Nothing leaves your mailbox until you send it. See the FAQ.

Open a reply

  1. Open Opportunities and select a conversation.
  2. The composer is titled Reply to plus the recruiter name, with the address under it when Sunary has one.
  3. Write in the box. The placeholder is Write your message here…

The box holds 5,000 characters. The counter sits at the end of the formatting bar. A language label can appear next to it. Sunary detects that language from the draft.

Shortcuts

Seeded shortcuts:

  • Interested
  • Not interested
  • Need more info
  • Short reply

+ Add opens AI reply instructions so you can create another shortcut. The total is 8, including the seeded ones. Polish with AI is not one of those chips.

Each shortcut writes a new draft from that intent. It is not a frozen email template. While a draft is generated, the composer shows Generating AI draft….

If the draft needs a fact you have not saved, Complete reply details asks for it first. Fill each field, then Save and generate. Cancel stops the draft. Those values are reused later from Reply information. See Profile and CV.

Polish with AI

Polish with AI cleans a draft you already wrote. It does not start a new reply.

  1. Write or paste your notes in the reply box.
  2. Choose Polish with AI. While it runs, the button reads Polishing….
  3. Read the result. Edit anything that is wrong.

When the email has several offers, Polish with AI sits under Opportunities to accept instead of in the title row.

Format the draft

The bar under the text has:

  • Bold, Italic, and Underline
  • Bulleted list and Numbered list
  • Attach file
  • Emoji — 🙂 😊 👍 🙏 ✅ 👋 📅 💼 ✨ 🎉

Formatting stays in the draft you send.

AI reply instructions

Open + Add, or the AI reply settings, to change how drafts are written. The dialog is AI reply instructions.

  • Global instruction applies to every AI reply. The default is Answer in English. Reset restores that sentence. The field holds 2,000 characters.
  • Each shortcut has its own instructions and its own Reset.
  • Polish with AI has its own instructions too. The help line is Cleans a draft you already wrote. It does not start a new reply.

To add a shortcut, use New shortcut, then Add shortcut. Cancel drops the new row.

Reply information

Drafts can reuse facts you saved under Reply information on Profile: Daily rate, Availability, Work mode, and any custom line you add, such as a VAT number or a notice period. Fill those in once so shortcuts do not invent them. A label that belongs on the CV sheet, such as phone or location, is refused with This detail is already in Personal profile. CV itself is attached as a file, not typed as a reply detail. See Profile and CV.

Several opportunities in one thread

When a recruiter sent more than one offer, Opportunities to accept appears above the shortcuts. Tick the job titles that apply before you send Interested. Select all checks every offer in that email. Archived offers can still be included. They are stamped Archived.

If that email has several offers and you open Optimize CV, a picker asks which offers the CV should cover. Offers already selected for the reply start checked. See Optimize a CV.

Save as note

Save as note stores the draft on the opportunity without sending it. While it runs, the button reads Saving…. The note shows in the thread, with a count such as 1 note before you expand the email. Files you attached can be previewed or downloaded from the note. See Read an opportunity.

A note is not an email. Saving one does not mark the opportunity as a sent reply.

Send

Send sends the reply from the connected mailbox. It stays Send whether or not a CV is chosen. While it runs, it reads Sending…. It stays disabled until the box has text and a reply address exists.

Send is hidden when the opportunity is not an email reply. You can still Save as note.

Attach a file or CV

Optimize your CV sits first in the right column. Your CV comes right after it, including when you do not reply by email. It shows the CV optimized for this opportunity, highlighted as ✦ Optimized for this opportunity, or your current base CV. Use Download CV or Preview, and Other versions to download another one.

Under the message, the actions are Attach file, Attach CV, Save as note, then Send.

  • Attach file adds another file from your device. The same control sits in the formatting bar. Accepted types include PDF, Word, text, images, presentations, and spreadsheets. Remove drops a file. A PDF can be previewed from its name.
  • Attach CV opens CVs you can add. The list groups Optimized and Base CV. A CV made for this opportunity is marked For this opportunity. The current one is marked Current. If no saved list exists yet, the row is Profile CV / Current. Pick a line to send that version. Each line has a preview and a download button.
  • Send without a CV clears the choice. Remove on the attachment chip does the same.

The PDF is always named First_Last.pdf, from the first and last name on the profile.

If the recruiter asked for a CV and none is chosen, Sunary warns you: Attach your CV before sending.

Nothing is attached until you pick a version. Saving an optimized CV does not attach it by itself.

The next offer does not have to sit in another tab.

Bring it in from email, a LinkedIn message, or a job link. Sunary keeps the skills, the CV, and the reply in one place.
